A successful planting contract is not simply a receipt for a tree and a hole. It should connect the tree’s mature form and tolerances to one measured location, identify the nursery stock that will arrive, state how unacceptable roots will be handled, describe installation and property protection, and assign establishment care after the crew leaves. Those decisions are what separate a useful tree planting service from delivery labor with an uncertain outcome.

The University of Florida Institute of Food and Agricultural Sciences (UF/IFAS) explains that planting projects begin with design, site evaluation, tree selection, nursery-stock inspection, planting depth, and early management. Its planting overview also makes an important boundary clear: stock size, production method, site conditions, and aftercare capabilities interact. A provider should therefore show why the proposed tree and method fit this property rather than present a generic package as universally suitable.

Deliverables that belong in a planting proposal

The proposal should begin with an address, a marked planting center, and the intended function: shade, screening, a replacement canopy, seasonal interest, habitat, or another stated goal. It should record measurable clearances from buildings, paving, property lines, and overhead obstructions. A sketch or annotated photograph is useful when several locations are under consideration. If the final center can move because of utility marks or access, the document should say who may approve the change and how the replacement position will be evaluated.

Plant material needs an unambiguous description. Ask for the botanical species, cultivar when relevant, quantity, stock form, and a measurable nursery size. The scope should allocate purchasing, transport, delivery inspection, rejection, substitutions, and return charges. A substitution should require the owner’s approval because a similar retail name does not establish the same mature dimensions, form, fruiting behavior, or site tolerance.

Installation language should identify who finds the first structural root, how the finished root-flare elevation will be set, what root defects trigger correction or rejection, and how the hole and backfill will be handled. It should also cover initial watering, mulch placement, conditional staking, cleanup, and any restoration along the equipment route. These are observable deliverables. Phrases such as “installed to standard” are inadequate unless the contract names the applicable specification and makes it available.

A complete tree planting scope ends with records and responsibility. The owner should receive the plant identity, care instructions adapted to the site, the party responsible for watering, the method for reporting distress, any stake-removal date, the follow-up schedule, and written coverage terms. If maintenance is excluded, say so plainly. If a visit is included, define what will be inspected rather than promising vague “monitoring.”

Situations that justify professional site assessment

Professional assessment is most valuable when a placement error would be costly or difficult to reverse. Examples include a narrow side yard, compacted construction soil, poor drainage, a steep grade, limited irrigation, a public right-of-way, an overhead utility corridor, or a location near retaining walls, pavement, foundations, septic components, or privately owned lines. Multiple-tree projects also benefit from one plan that allocates mature canopy and rooting space instead of evaluating each young specimen in isolation.

A planting site assessment should inventory aboveground space, belowground conditions, and realistic maintenance. UF/IFAS describes site analysis for tree selection as the basis for matching trees to site attributes. In practice, the provider should document sunlight, exposure, likely water availability, drainage observations, soil disturbance or compaction, existing vegetation, access, and the desired tree traits. Regional extension guidance, nursery information, and the provider’s observations can then narrow the candidates; no national article can select a cultivar for every climate and soil.

Replacement planting deserves a fresh assessment. The cause and consequences of the former tree’s removal may affect the new project: stump grindings, remaining woody material, settled or altered grade, a drainage problem, changed light, or an unresolved site constraint. The contract should treat relocation, additional excavation, soil replacement, drainage work, or delay as contingent options when the condition cannot be confirmed non-destructively.

Homeowners also need qualified help when the project overlaps tree-risk evaluation, pesticide use, public-tree rules, electrical hazards, engineered structures, or work that requires regulated contracting. Those issues may involve different credentials. The useful question is not “Do you have an arborist?” but who will make the species and root decisions, who will supervise installation, and which separate professional will address any condition outside the planting crew’s competence.

From site fit to establishment: the technical review

Begin with mature fit, not the dimensions on delivery day. The provider should compare credible regional information for expected height, canopy form, and tolerances with the usable location. Mature-size descriptions are ranges, not guarantees: climate, genetics, soil volume, water, competition, and management affect growth. Still, a tree whose typical form conflicts with a roof, roadway sight line, or overhead conductor is not made suitable by planning to prune it repeatedly.

Inspect nursery stock before excavation commits the project to a tree. The trunk and crown should match the specified form and be free of undisclosed material damage. The root ball needs its own acceptance criteria. UF/IFAS lists root-ball defects such as roots circling close to the trunk, kinked or descending roots, loose balls, buried top roots, and balls that are too small. The page advises against planting trees with intact circling roots. A proposal should therefore authorize a knowledgeable person to expose enough of the top to locate the flare, document defects, and decide whether an exact correction method is appropriate for that stock or whether the tree should be rejected.

Planting depth should be based on structure rather than the container rim, burlap surface, or apparent soil line on the trunk. UF/IFAS advises finding where the topmost root emerges, measuring from that point to the bottom of the ball, and using that measurement to prepare the planting hole and finished elevation. Its detailed dimensions and slope treatment reflect that guidance and must still be reconciled with local soil, grade, stock condition, and the project specification. A crew should not solve an over-deep hole by leaving loose fill under a heavy ball that may settle.

Backfill is another point where product sales can outrun diagnosis. UF/IFAS recommends breaking up large clods, settling backfill around the ball, keeping soil off the top of the root ball, and generally reusing loosened site soil; its backfill and amendment guidance describes exceptional conditions in which broad soil replacement may be considered. That is not a command to ignore contaminated soil, severely constrained planting pits, engineered soil designs, or a site-specific soil report. It is a reason to require a written basis before buying fertilizer, fungi, gels, or amendments as automatic add-ons.

Staking should follow an observed stability need and the chosen system’s instructions. UF/IFAS notes that many sound balled-and-burlapped trees may remain firm without supports, while some container or bare-root trees may need stabilization; its staking guidance also warns against attachment materials that can injure or girdle the trunk. The scope should state why support is needed, how bark and roots will be protected, who inspects it, and when removable components come out. “Stake every tree” and “never stake” are both poorer specifications than a documented stability check.

Mulch belongs over the developing root zone, not piled against the trunk. UF/IFAS’s mulch guidance emphasizes suppressing competing turf or weeds, keeping mulch away from the trunk, and avoiding excessive depth. Exact material, extent, and depth should be selected for the landscape, climate, stock, fire considerations, and local guidance. Acceptance should focus on an exposed flare and a defined mulch profile rather than the appearance of a decorative volcano.

Watering is the establishment control most likely to pass from contractor to owner. UF/IFAS explains that irrigation capacity affects species choice, stock size, production method, and establishment in its irrigation guidance for newly planted trees. The contract should state who waters, where moisture is checked, how the method reaches the root ball and surrounding soil, and how weather and drainage change the schedule. A universal calendar or a turf-zone run time is not a substitute for inspecting actual moisture. Species, climate, stock size, soil, season, rainfall, and system output all control the plan.

Conditions that require a location, stock, or scope decision

A utility conflict can require relocation, a different excavation method, or cancellation. A buried flare can require careful removal of excess material before the true ball depth is known. Severe root defects can lead to rejection rather than improvised pruning. A mature-size conflict can force species or site reselection. An unstable ball can add temporary support and a return visit. None of these discoveries should disappear into a verbal assurance; the contract needs an approval path and an allocation of cost.

These decisions are not interchangeable. Moving the center may resolve a marked-line conflict but create a canopy or property-line conflict. Cutting roots may address a correctable container defect but cannot make every malformed stock item acceptable. Staking may limit movement during establishment but does not cure a loose or structurally deficient root ball. A survival promise cannot compensate for the wrong tree in the wrong location. The provider should photograph the condition, explain the available choices, and obtain authorization before irreversible work.

Compare nursery stock formats and project phasing

Bare-root stock allows direct root inspection and can reduce handling weight, but it requires careful protection from drying and enough room to arrange roots without folding them. UF/IFAS advises spreading bare roots, avoiding kinks and circling, positioning the top root near the soil surface, and trimming only roots that are dead, injured, or dried in its bare-root planting guidance. Availability, species suitability, dormancy, storage, transport, and installation timing remain nursery- and region-dependent, so the proposal should state the handling plan rather than rely on a general stock label.

Container-grown material is convenient to transport and widely available, but the container hides the interior root architecture. UF/IFAS’s container-tree guidance discusses pot-bound roots, circling defects, synthetic coverings, and several correction approaches. Root pruning is not a homeowner add-on to prescribe generically: the provider should identify the defect, follow current species- and stock-appropriate guidance, account for aftercare, and reject a tree when the root system cannot be made acceptable without unjustified loss.

Balled-and-burlapped stock can provide larger specimens but adds root-ball weight and material-handling decisions. UF/IFAS distinguishes natural and synthetic coverings, discusses top-of-ball inspection, and notes differing views and conditions around burlap and wire in its balled-and-burlapped planting guidance. The contract should identify the actual materials and the agreed removal or treatment, preserve root-ball integrity during positioning, and prevent trunk lifting. Exact nursery specifications and regional guidance control; the stock form alone does not dictate one universal basket rule.

Small and large specimens should be compared by more than immediate appearance. Larger stock can increase purchase price, equipment needs, access protection, and the watering burden. Smaller stock may simplify handling and establish on a different timetable. The provider should compare the particular species, stock quality, root-ball dimensions, irrigation capacity, site drainage, access, and desired visual effect. A phased plan can reduce one-time disturbance or test performance, but it introduces availability, cultivar matching, remobilization, and later-price uncertainty that should be written into the proposal.

Replacement and phased planting also require clean boundaries. State whether stump work, woody-debris removal, imported soil, temporary irrigation, follow-up, and replacement administration belong to the current phase. Do not let “phase two” become a placeholder for tasks required to keep phase-one trees alive. Each phase needs its own acceptance and establishment responsibilities.

Address-specific approvals and product requirements

Permit and planting rules vary with the address and ownership of the land. Public rights-of-way may have different approval, species, spacing, or contractor requirements from a private backyard. Easements, homeowner-association documents, historic controls, protected-tree rules, and approved development plans can add constraints. The proposal should list the authorities or documents that will actually be checked, identify who performs each check, and avoid claiming that a national planting article proves local compliance.

Before any excavation, the responsible party should use the applicable utility-notification process. The national 811 service tells people planning to dig—including for tree and shrub planting—to contact 811 or their state center a few business days beforehand, wait for responses, and dig carefully around marks. Its wording concerns approximate locations of participating buried utilities. For this property, ask the state center what the ticket covers, how long marks remain valid, what tolerance practices apply, and which owner-installed or private facilities require a separate locator. Do not infer the answer from paint alone.

Manufactured components bring separate instructions. Irrigation emitters or bags, root barriers, anchors, guards, structural-soil systems, and support hardware may specify compatible configurations, inspection, loading, or removal. The bid should name exact products when their performance matters and provide current instructions. A nursery tag, permit, 811 ticket, and product manual answer different questions; none proves by itself that the selected species, mature size, planting elevation, and aftercare are suitable.

Plan access and protect people and property

Before delivery, the contractor should walk the equipment route and record gate width, overhead clearance, slopes, surface conditions, septic or drainage areas, irrigation components, delicate paving, and load limitations supplied by the owner or other responsible professional. The staging point, soil location, work zone, and occupant route should be agreed. If a crane, loader, auger, or suspended load is proposed, request the contractor’s site-specific method and insurance rather than assuming ordinary landscape access covers it.

Tree-care work can expose workers to falls, struck-by events, electrical contact, noise, equipment, and other occupational hazards. OSHA’s tree-care safety page is an employer-focused hazard resource; it is not a residential planting specification or a promise that a crew is safe. Its proper use here is narrow: ask the employer how it assessed the actual work, keeps workers clear of relevant hazards, and controls equipment and electrical exposure. Homeowners should follow the crew lead’s exclusion zone and keep children and pets away from operations.

Property protection belongs in the contract because the appropriate method depends on access and equipment. Define any ground mats, spotters, traffic control, temporary barriers, surface cleaning, irrigation repair, or lawn restoration that is included. Identify who may authorize a changed route after rain or an unexpected obstruction. At the end of the day, open excavations, unstable stock, tools, and materials should be secured under the contractor’s documented plan, not left to an improvised homeowner warning.

Installation acceptance checks before handoff

Acceptance should compare the installed work with the written specification. Verify the plant identity, stock form, quantity, agreed size, and approved location. Review delivery and defect photographs. Confirm that the documented root flare is visible at the specified finished elevation, the trunk is acceptably oriented, backfill and grade match the approved detail, and the surrounding area drains as anticipated during the initial watering. If a concealed condition forced a deviation, obtain the signed change record.

Check mulch against the specified profile and make sure it is clear of the trunk. If supports are present, confirm the stated reason, system, inspection responsibility, and removal date. Test only installed irrigation components using their exact instructions; do not interpret one watering event as proof of establishment. Photograph adjacent paving, fences, siding, lawn, and irrigation areas before final sign-off so restoration exceptions can be resolved promptly.

The handoff package should include the invoice, plant and cultivar record, the accepted planting detail, relevant product instructions, care plan, photographs, follow-up date, and claim procedure. Long-term survival cannot be verified on installation day. The defensible acceptance is narrower: the specified tree was installed at the approved place using the documented method, observable defects were resolved, and aftercare responsibility transferred clearly.

How access, stock, and aftercare shape the estimate

A tree planting estimate is easiest to compare when it separates plant material, delivery, installation, equipment, property protection, restoration, and aftercare. Stock price varies with species, cultivar, measurable size, production method, quality, and availability. Labor and equipment vary with root-ball weight, unloading distance, gate clearance, slope, soil condition, conflicting roots or rubble, hand-dig requirements, and the ability to protect surfaces.

Unknown conditions should become allowances or unit prices, not open-ended permission to charge. Stump debris, contaminated or unsuitable soil, a utility conflict, hidden irrigation, drainage correction, stock rejection, extra locating, traffic control, or loss of equipment access can change the tree planting cost. The proposal should state how the condition is documented, who prices the alternative, and whose approval is required before proceeding.

Aftercare can materially change the total. Clarify whether the price includes initial watering only, a defined series of visits, irrigation changes, moisture checks, stake adjustment, replacement labor, or seasonal follow-up. Also identify taxes, permit or application fees, deposits, cancellation, weather delay, delivery rebooking, and payment milestones. Comparing totals without these boundaries rewards omissions rather than efficiency.

Verify the provider, arborist, insurance, and crew

Licensing is jurisdiction- and scope-specific. Ask a tree planting provider for its exact legal business name and any license classification required at the project address, then verify it with the issuing authority. A general business registration may not cover regulated landscape contracting, excavation, pesticide work, traffic control, or work in a public right-of-way. The contract, invoice, license, and insured entity should align or be explained before a deposit.

Request current evidence of general liability and workers’ compensation appropriate to the actual crew. If vehicles, loaders, cranes, or subcontractors will be used, ask who controls and insures those operations. Insurance does not prove planting competence, but unexplained entities or coverage gaps are reasons to pause. Confirm who is the crew lead and who has authority to reject stock, change the location, or stop for a utility conflict.

Credentials matter only when connected to the work. Verify the named arborist through the credentialing body and ask whether that person visits the site, selects stock, writes the specification, supervises, or is merely available by phone. Recent tree planting reviews can help assess communication and cleanup, but they cannot reveal buried root defects or establish current insurance. Ask for comparable projects and then test the provider’s answers against the written proposal.

Separate plant coverage from installation workmanship

A tree planting warranty may combine several different promises. The nursery may offer material credit to the contractor; the contractor may cover installation workmanship; and the homeowner may receive a limited replacement benefit. Ask for the duration, start date, covered condition, exclusions, claim deadline, inspection process, and remedy. Establish whether removal, delivery, labor, disposal, and replanting are included. “One year” is not a complete remedy.

Aftercare conditions must be achievable and measurable. If coverage depends on watering, attach the same site-specific care plan used at handoff and state how compliance and causation are evaluated. Weather extremes, flooding, irrigation failure, animals, vehicle damage, construction, herbicide exposure, vandalism, and unauthorized pruning may be excluded, but exclusions should be visible before signing. A provider cannot control every cause of decline and should not advertise unconditional survival.

Workmanship terms should address observable departures from the accepted installation specification, such as planting elevation, settlement, support hardware, or contractor-caused property damage. Product coverage for irrigation or support components should cite the exact manufacturer process. Keep invoices, photos, stock identity, approved changes, care records, and communications; they let both parties compare a claim with the actual promise instead of arguing from memory.

Use this tree planting hiring checklist only after comparing the detailed proposals:

  • The provider has documented one suitable location, a named tree and stock specification, and the person accountable for technical decisions.
  • The bid defines stock rejection, planting elevation, root treatment, utilities, access, protection, aftercare, price changes, and approval authority.
  • Address-specific permissions and utility responses can be completed before excavation, with private-facility questions resolved separately.
  • License, insurance, crew, product instructions, warranty remedy, and follow-up responsibilities are verified in writing.
  • Do not authorize delivery if mature fit, acceptable roots, realistic watering, safe access, or a material contract term remains unresolved.

The strongest proposal makes the living and contractual dependencies visible before the tree arrives. It links site conditions to species, nursery quality to acceptance, root structure to planting elevation, equipment to property protection, and coverage to achievable care. That record gives the homeowner a rational basis to hire—and gives a competent installer a clear standard for completing the work.
